Why Migrate Now

What Happens If You Stay on QuickBooks Desktop?

Staying on QuickBooks Desktop 2023 after May 2026 exposes your business to serious financial and security risks.

💸

IRS Penalties Risk

Without payroll tax table updates, QuickBooks Desktop 2023 will calculate taxes incorrectly — leading to IRS underpayment penalties and potential audits.

🔓

Security Vulnerabilities

No more security patches means your QuickBooks data and financial information is vulnerable to malware, ransomware, and data breaches.

🏦

Bank Feeds Disconnected

Bank feed connections are cut off — meaning manual bank reconciliation for every transaction. Hours of extra work every week.

⚠️ Bottom line: QuickBooks Desktop 2024 is the last ever Desktop version. After September 2027, there is no Desktop path forward. The sooner you migrate, the smoother your transition.
Step-by-Step Guide

How to Migrate QuickBooks Desktop to QuickBooks Online

Our independent specialists walk you through every step — from backup to go-live. Here is the complete process.

1

Back Up Your QuickBooks Desktop Company File

Before anything else, create a full local backup. Go to File → Back Up Company → Create Local Backup. Save the .QBB file to a safe location — external drive or cloud storage. This is your safety net.

2

Choose Your QuickBooks Online Plan

QuickBooks Online has 4 plans: Simple Start (1 user, basic), Essentials (3 users, bills), Plus (5 users, inventory), Advanced (25 users, reporting). Most small businesses need Essentials or Plus. Our specialists help you choose the right plan.

3

Run the Built-In Migration Tool

In QuickBooks Online, go to Settings → Import Data → From QuickBooks Desktop. Upload your company file. The tool transfers: chart of accounts, customers, vendors, items, and up to 2 years of transactions. Large files may take 1-4 hours.

4

Verify All Imported Data

After import, run a Trial Balance in both systems and compare. Check customer balances, vendor balances, and opening account balances. This step is critical — do not skip it. Our specialists review this with you line by line if needed.

5

Reconnect Bank Feeds & Payroll

In QuickBooks Online, go to Banking → Connect Account to reconnect your bank accounts. Set up QuickBooks Payroll separately — payroll data does not transfer automatically and requires manual setup. This is where most businesses need specialist help.

6

Train Your Team & Go Live

QuickBooks Online has a different interface than Desktop. Walk your team through key workflows: invoicing, bill payment, payroll runs, and bank reconciliation. Run both systems in parallel for 2-4 weeks before going fully live on QB Online.

Common Questions

QuickBooks Cloud Migration — Frequently Asked Questions

Everything you need to know about migrating from QuickBooks Desktop to QuickBooks Online.

Yes. Intuit stopped selling new QuickBooks Desktop subscriptions to new US customers in September 2024. QuickBooks Desktop 2023 support ended May 31, 2026. Desktop 2024 is the last ever version — support ends September 2027. After that, there will be no new Desktop releases.
You should not lose data if migration is done correctly. The built-in migration tool transfers your chart of accounts, customers, vendors, and up to 2 years of transactions. Always back up your Desktop file first. For complex files, our specialists verify every data point after migration.
You will lose payroll tax table updates (IRS penalty risk), bank feed connections, online payment processing, and security patches. The software will still open locally but your data security is at risk and payroll accuracy cannot be guaranteed.
For small company files under 50MB, migration typically takes 1-2 hours. Medium files (50-200MB) take 2-4 hours. Large files (200MB+) or complex setups with advanced inventory and payroll can take 1-2 days. Our specialists handle large migrations efficiently.
QuickBooks Desktop Pro Plus costs $1,149/year. QuickBooks Online ranges from $30/month (Simple Start) to $200/month (Advanced). For most small businesses, QB Online Essentials at around $60/month ($720/year) is comparable in cost and includes all updates and cloud access automatically.
Yes. Intuit allows a parallel period so you can verify data accuracy in QB Online before fully switching. We recommend running both for 2-4 weeks. Important: do not enter new transactions in both systems simultaneously — pick one system for new entries during the parallel period.
No. Payroll data does not transfer automatically. You need to set up QuickBooks Payroll separately in QB Online. Employee profiles, pay rates, and tax information must be entered or imported manually. This is one of the most complex parts of migration — our specialists handle this step carefully.
Simple Start — sole proprietors with basic invoicing. Essentials — small businesses with bills and up to 3 users. Plus — businesses needing inventory tracking or project profitability, up to 5 users. Advanced — larger businesses needing advanced reporting and up to 25 users. Call us and we'll recommend the right plan for your business in 5 minutes.
